The Team:
The Duncan Multi-Services Administrative Team is an established and close knit group known for its high energy, fast paced environment, and commitment to delivering exceptional service. The team includes an Office Manager, Team Assistants, and Administrative Assistants who support approximately forty staff across a wide range of services. You will work alongside Social Workers, Team Leaders, contracted agency staff, caregivers, finance teams, and members of the public as part of a supportive network that values diverse perspectives and shared success.

The Role:
In this role, you will take on a variety of key responsibilities that help keep operations running smoothly. These include liaising with other departments and ministries, assisting clients with forms and inquiries, entering data into databases, and following records management procedures. You will also support daily office operations and step in for colleagues when needed to ensure continuity of service. Your work will have a meaningful impact by helping processes run efficiently, ensuring timely payments to service providers, and supporting prompt responses to public inquiries. Qualifications:
Education and Experience Requirements

  • Secondary School graduation (Dogwood, GED) and six (6) months related experience; OR
  • Evergreen and one (1) year related experience; OR
  • An equivalent combination of education and experience may be considered.
     

Months/ years of related experience must be in each of the following:

  • Experience working in a computerized environment using various computer applications and databases. (For example: Microsoft Office applications including Word Excel, Outlook, Teams)
  • Experience providing quality customer or client service, carrying out duties and responding to clients' needs in a professional manner.
  • Experience working independently and as a team member with a multi-disciplinary environment and with other professional staff, client, and service providers in an office setting.
     

Preferences may be given to applicants with:

  • Post secondary certificate or coursework in an Administrative Business Skills program with the required combination of education and experience.
  • Six (6) months’ administrative experience working with vulnerable children and families in a human/social services setting.
  • Experience using Ministry of Children and Family applications: Integrated Case Management (ICM) and/or Management Information Systems (MIS) computer applications.

About this Position:
These position have full time on-site requirements.
There are two permanent positions available, as well as two temporary opportunities: one until October 31, 2027, and one until July 19, 2026. These temporary roles may become permanent.
An eligibility list may be established to fill future permanent and/or temporary vacancies.
A Criminal Record Check (CRC) and Criminal Record Review Act Check (CRRA) will be required.
