Job Overview
The Practice and Quality Assurance Division provides a broad array of oversight and leadership functions for Quality Assurance, Practice, Adoption and Child Safety Oversight services being provided by the Ministry. Together with our partners, our goal is to deliver inclusive, culturally respectful, responsive, and accessible services that support the safety and well-being of children, youth, and families. The Office includes individuals designated by the Minister under the Child, Family and Community Service Act (CFCSA) and Adoption Act; and provides practice support, oversight and leadership for services delivered under these Acts to Indigenous Child and Family Service Agencies and Ministry staff.
The Executive Administrative Assistant (EAA) provides effective administrative support services to the ADM/Provincial Director of Child Welfare
Under limited supervision, the EAA provides a well-organized and effective working environment. The position represents the ADM in a manner that supports a collaborative, service-centred environment and maintains service quality, professionalism, confidentiality, and adapts to changing priorities while meeting tight deadlines. The EAA works well independently and has excellent communication skills as well as establishes and maintains effective relationships with senior staff, this includes maintaining proper internal and external communication channels.
Qualifications:
Education and Experience Requirements
- Secondary school graduation or equivalent. Preference may be given for completion of a related degree program or a certificate/diploma in Office Administration.
- A minimum of one year’s experience working in an administrative role.
- Office experience working in a confidential capacity.
Preference may be given to candidates with one (1) or more of the following:
- A minimum of one year of experience organizing and maintaining electronic calendars, schedules, and agendas, including the coordination of meetings, events, and travel requirements for a senior executive (Executive Director, ADM, DM or equivalent).
- Experience scheduling and supporting virtual meetings and proficiencies in the use of virtual meeting technologies (MS Teams, ZOOM).
- Experience with CLIFF tracking system, eApprovals, and ARCS/ORCS records management policies, procedures, and guidelines.
- Experience in responding to Freedom of Information requests.

About this Position:
Flexible work options are available; this position may be able to work from home a few days a week subject to an approved telework agreement.
