Job Overview

This position is responsible for directing the day-to-day operations of the Executive & Deputy Director’s office and the administrative services for the Southern Interior Region (SIR) and coordinating the activities of the SIR’s Regional Management Team (RMT).

Reporting to the Regional Manager, Planning & Partnerships, the Business Management Coordinator is customer focused, has highly developed management skills and possesses a broad knowledge of administrative processes. The position continuously interacts with the SIR’s RMT, ministry executive offices, and private and public sector resources to maintain an up-to-date knowledge of current public and internal issues across the SIR. With customer service and issues management as a primary focus of this position, responsible for organizing, monitoring and measuring response to public enquiries and complaints and anticipating potential negative reactions to mitigate such. Customers include the public, MLAs, local and regional government at all levels as well as Ministry Executive.

As team lead, this position is responsible for project managing a variety of annual events as well as ad hoc assignments that result from decisions made at the Executive and Regional Management Team levels. These assignments include, but are not limited to, preparing information binders, business case studies, business continuity and recovery plans, and change management and work process improvement. The position is responsible for coordinating advanced level and confidential administrative and secretarial support to the Executive and Deputy Director and the Regional Management Team either by direct supervision or through liaison with Managers and Supervisors throughout the SIR. Responsible for forecasting and monitoring of a zero-based budget for the Executive Director’s area.

Qualifications:
Education and Experience Requirements

  • University/College degree in Business Administration, Public Administration, or Public Sector Management or a related field and 1 year related* experience; OR
  • Grade 12 or GED and 5 years related* experience in a related field; OR
  • Equivalent combination of education and experience; AND
  • Proficiency in Microsoft suite including Word, Excel, Outlook, Teams and PowerPoint.

*Related experience should include:

  • Managing and leading projects and/or project components.
  • Hiring, leading or supervising, and training staff.
  • Direct support of senior/executive staff.

Preference may be given to applicants with:

  • 5 years related administrative experience.
  • 1 year experience hiring, leading or supervising, and training staff.
  • Experience working with Freedom of Information (FOI) requests.
  • Experience with TRIM/ARCS/ORCS and managing government records.

Provisos /Willingness statements

  • Willing to travel periodically on business overnight and year-round throughout the region.
  • Willing to work overtime on weeknights and weekends to travel or complete assignments within time frames, when required.
