The Team
The Assistant Deputy Minister’s Office (ADMO) for the Policy and Intergovernmental Relations Division provides strategic policy leadership to support reconciliation efforts. As part of this established office, you will work closely with the ADM the Deputy Minister’s Office, the ADMO of the Government to Government and Community Relations Division while building relationships across six divisional branches, ministry executive offices, and partners throughout the Natural Resource Sector. This is an exciting opportunity to contribute to meaningful work that advances reconciliation, strengthens relationships with Indigenous Peoples and governments, and supports key ministry priorities in a dynamic, team-oriented environment.
The Role
The successful applicant will provide administrative services to an Assistant Deputy Minister. In this dynamic role, you will prioritize and manage your workload to meet deadlines, using your outstanding eye for detail to ensure all work is carried out to a high standard. This is an exciting opportunity to work closely with senior leadership, gain exposure to high-profile initiatives, and make a meaningful contribution to policy and intergovernmental work that advances ministry priorities.
Qualifications:
Education and Experience Requirements
Secondary School graduation (Dogwood, GED) and 2 years of related experience.
Related Experience must Include:
- Office experience working in a confidential capacity.
- Experience supporting a senior executive, including calendar management, scheduling meetings, and making travel arrangements.
- Experience with the CLIFF tracking system, eApprovals and ARC/ORCS records management policies, procedures and guidelines.
- Experience developing, implementing, and maintaining organizational and tracking systems to support workflow management, project coordination, and operational efficiency.
- Experience managing and updating multiple organizational systems, databases, records, and information management tools while ensuring data accuracy and confidentiality.
- Experience using Kanban-style project management and collaboration tools, including Trello and Microsoft Teams Planner/Tasks, to track deliverables, monitor progress, manage priorities, and support team coordination.
- Experience coordinating meetings involving multiple executives, ministries, and stakeholders, including scheduling, agenda coordination, logistics management, and follow-up actions.
- Experience identifying opportunities to improve administrative processes, developing practical solutions, and implementing changes to enhance efficiency and effectiveness.
Preference may be Given to Applicants With:
- Experience working with Indigenous organizations and/or communities.
- Individuals who identify as Indigenous.
- Project management experience.
- A certificate or coursework in Office Administration, Business Administration, Project Management, Records and Information Management, Process Improvement, Advanced Microsoft Office Applications, or a related field.
