The Team
The Team Assistant Float Pool is an established and collaborative team that provides essential administrative and clerical support to children and family service offices. Team members work alongside a variety of professionals, including Team Assistants, Office Managers, Child Protection Workers, Resource Workers, CYMH Clinicians, CYSN Workers, Directors, and other staff, helping ensure programs and services run smoothly and effectively.

As a Team Assistant, you will play an important behind-the-scenes role by providing administrative, coordination, and operational support that enables professional staff to focus on supporting children, youth, and families, contributing to efficient operations, strong client service, and positive outcomes for the communities we serve.

The Role
The Team Assistant will provide a wide range of administrative, clerical, and program support services that help children and family service offices operate effectively. Through records management, scheduling, correspondence, information management, reception support, and coordination of office processes, you will help ensure frontline staff can focus on supporting children, youth, and families while maintaining accurate, timely, and responsive services.

As a member of the Team Assistant Float Pool, you will provide essential administrative support and temporary coverage in response to operational and staffing needs. This role offers the opportunity to work across offices in Vancouver, Richmond, and North Vancouver, helping ensure continuity of service during staffing shortages and absences.  Flexibility and the ability to work at various locations are essential to this role.

Qualifications:
Education and Experience Requirements

  • Certificate or coursework and six (6) months related experience; OR
  • Secondary School graduation (Dogwood, GED) and six (6) months *related experience; OR
  • Evergreen and one (1) year *related experience; OR
  • An equivalent combination of education and experience may be considered.

*Related Experience may include the following:

  • Six (6) months experience working in a computerized environment using various computer applications and databases. (For example: Microsoft Office applications including Word Excel, Outlook) for word processing, spread sheeting, data entry, email and video teleconferencing; and case management or other database applications.
  • Experience providing quality customer or client service, carrying out duties and responding to client needs in a professional manner.
  • Experience working independently and as a team member with a multi-disciplinary environment and with other professional staff, client, and service providers.

Preference may be given to applicants with the following:

  • Diploma or Certificate in Office Administration.
  • One (1) year or more experience providing administrative support in an office setting using various computer applications such as MS Office (Word, Excel, Outlook, Teams).
  • More than six (6) months experience providing quality customer or client service, carrying out duties and responding to client needs in a professional manner.
  • More than six (6) months experience working independently and as a team member with a multi-disciplinary environment and with other professional staff, client, and service providers.
  • Experience using Ministry of Children and Family (MCFD) Integrated Case Management (ICM) and/or Management Information Systems (MIS) computer systems.
  • Administrative experience working with vulnerable children and families in a human/social services or social services setting.
  • Applicants who self-identify as First Nations, Métis or Inuit with the required combination of education and experience.

WILLINGNESS STATEMENT

  • This position may be required to travel and work within the Service Delivery Area; you will be responsible for your own transportation to the various offices.
